This Cancellation Policy applies to all students who schedule and pay for clinical rotations through Clinika (clinika.us). By submitting payment, the student agrees to the terms below.
- Reservation & Deposit
- A rotation is considered confirmed once payment (deposit or full fee) is received.
- Rotations are scheduled with hospitals/physicians in advance; therefore, placement slots are limited and reserved specifically for the student.
- Fees cover administrative processing, credentialing coordination, and site reservation.
- Cancellation by Student
All cancellation requests must be submitted in writing via email.
| Time Before Rotation Start | Refund Eligibility |
| ≥ 3 months | Full refund minus $250 administrative fee |
| ≥ 2 | 75% refund |
| ≥ 1 | 50% refund |
| < 1 month | No refund |
Important: For certain rotations, once hospital onboarding paperwork is submitted or hospital approval is issued, a minimum $1000 administrative fee will apply regardless of timeline. Ask us before you pay which rotations fall under this category.
- Rescheduling
- One (1) reschedule is allowed at no charge if requested ≥ 60 days before the start date.
- Requests < 30 days before start date are treated as a cancellation.
- Failure to Attend / Late Arrival
- Failure to report on the first day of rotation = automatic cancellation without refund.
- Arriving more than 2 business days late may result in denial of rotation by the site with no refund.
- Exam Failure / Personal Reasons
- Travel delays, exam failure, illness, family matters, or personal scheduling conflicts are considered student-related issues and follow the standard refund schedule above.
- Students are strongly encouraged to purchase travel insurance.
- Visa denial
- Visa denial will result in certain rotations for a full refund minus $500 administrative fee.
- Site or Physician Changes
Clinika reserves the right to change rotation site, supervising physician, or schedule due to:
- physician availability
- hospital policy
- accreditation requirements
- unforeseen operational issues
Such changes do not qualify as cancellation and are not grounds for refund if the specialty and educational value remain equivalent.
- Cancellation by Clinika
If Clinika cannot provide a comparable rotation:
- Student will receive either
- a full refund, or
- transfer to another rotation at the student’s choice.
- Dismissal from Rotation
No refund will be issued if the student is removed from the rotation due to:
- professionalism concerns
- violation of hospital policies
- attendance issues
- incomplete credentialing
- patient safety concerns
- Force Majeure
Clinika is not liable for cancellations caused by events beyond control including natural disasters, pandemics, government restrictions, or hospital closures. The student will be offered rescheduling or credit valid for 12 months.
- Agreement
Payment of any invoice constitutes acknowledgment and acceptance of this policy
